Edit assets

The Sentrient asset management system allows you to edit assets throughout the life of an asset. This allows you to keep track of important asset details such as documents, servicing information, issues register, allocation history, purchasing details, maintenance log, notes, and more. This means that you can maintain an asset from commissioning the asset to disposal, including a history of allocation and deallocation of assets.

The Sentrient asset management system allows you to allocate and deallocate assets to staff. The history of allocation and deallocation of assets is maintained for the life of an asset. You can also view what assets have been allocated to what staff, including how assets have been allocated across different departments, locations, and groups.

The Sentrient asset management system allows you to manage fixed assets, equipment, licenses, and more. Examples of physical assets are vehicles, office furniture, computers, and phones. Examples of non-physical assets are software licenses. You can name, categorise and tag assets to help you be more organised in managing all of the assets across your organisation.

What type of asset information can we maintain?

The Sentrient asset management system has fields to add asset information such as name, asset tag, serial number, brand, model number, purchase cost, vendor information, purchase orders, account codes, categories, descriptions, notes, acquisition date, expiry date, warranty start and end date, asset state, asset type, asset usage, maintained by, next review date, photo’s, and to understand what assets have been disposed of. Once an asset has been added, there is even more information that can be included such as documents, servicing information, issues, allocation history, purchase details, maintenance details, and ongoing notes. This means you can be as simple or complex in the information you maintain on your assets.

Can I bulk-add asset information from spreadsheets and existing asset management systems?

If you do not have existing information about your assets, then the Sentrient asset management system can be set up by adding one asset at a time and entering all asset details. You can then progressively add your asset information and assign it to staff in a timeline that works for you. Alternatively, if you have access to existing asset information from spreadsheets or can export it from existing asset management systems, then the Sentrient asset management system can be bulk-loaded with this information, and our technical team can assist you with this during the implementation of the Sentrient asset management feature.

How can I view what staff have been allocated assets?

The Sentrient asset management system allows you to report on assets that have been allocated to staff. Ready-made reports allow you to search for asset details. You can filter reports on usage type, asset state, department, location, group, expiry date information and more. Reports can be saved as favourites and automated to send for routine checks of asset allocation based on the search criteria of your choice. You can also view assets allocated to staff from their staff profile. Staff can view their assets; managers can view the assets allocated to their team; administrators and asset manager role can view all assets across the organisation.

How do we manage routine asset maintenance and audits?

The Sentrient asset management system has a field that is called the next review date, and this will allow you to manage routine asset maintenance and audits. You can then add documents, notes, servicing information, maintenance information, and purchase details along the way. Everything is stored against the asset so that it is maintained for the life of the asset, irrespective of the allocation history at any given point in time.

How much time does it take to implement the asset management system?
